| Description: | The Admissions Assistant position is the first point of contact for the office of Admissions, providing excellent customer service to prospective students. This position contributes to the effective recruitment and enrollment of new students to Northwestern. Key responsibilities include the reception and introduction of applicants, receipt and processing of required enrollment material and maintenance of documentation necessary to meet academic and accreditation standards. |
| Duties: |
Application Processing
Customer Service
Receive incoming calls to the department. Route and cover calls as needed
Provide excellent customer service by greeting and assisting visitors
Oversee mailing of recruitment materials to all inquiries, as directed
Application Support
Prepare paper files for each applicant
Enter and file appropriately all incoming transcripts for applicants
Collect and document immunization records
Office Support
Open, process, and distribute mail to staff
Provide clerical support to the admissions staff (advisor mailings, letters, etc.)
Maintain the online Housing Newsletter by coordinating information with Web Services and following-up with local apartment complexes annually for advertising opportunities
Generate reports from CRM for Director
Coordinate travel arrangements for Admissions staff
Coordinate department manager’s work schedule and appointments
Order and maintain office supplies for department, following correct requisition/purchase order procedure
Assist with coordinating student workers and the projects they are assigned
Reserve rooms for events, work with facilities to organize events, organize catering and logistics if needed
Assist with university committees, as assigned or appointed (take minutes, follow up work, etc.
Attend NWHSU events, as needed

| Qualifications: | High school diploma or general equivalency diploma (GED). Two or more years administrative assistant/clerical experience supporting a multi-person department required. Intermediate proficiency in Microsoft Word, Excel and PowerPoint along with experience with database applications. Experience working in an educational setting preferred. Must be self-motivated and organized. Must have strong work ethic, have high energy and be a committed team player. Excellent knowledge of English, spelling, grammar and punctuation. Strong interpersonal and communication skills and the ability to work effectively with a wide range of individuals in a diverse community. Ability to work independently and as part of a team.
